Listing Documents + Disclosures
• Listing Packet & send for electronic signature to seller(s). Written, approved verbiage must
come from Listing Agent directly prior to execution of ALL documentation.

o Oregon Real Estate Initial Agency Disclosure Pamphlet
o RMLSTM Oregon Exclusive Right to Sell – Listing Contract
o Residential Data Input Form (if applicable)
o Seller’s Property Disclosure Statement
o Seller’s Property Disclosure Statement Attachment Explanation/Additional Information
o Lead-Based Paint Pamphlet (if applicable)
o Lead-Based Paint Disclosure Addendum (if applicable)
o Woodstove/Wood Burning Fireplace Insert Addendum (if applicable)
o Septic Addendum to Real Estate Agreement (if applicable)
o Private Well Addendum to Real Estate Agreement (if applicable)

• Draft additional listing contract addendums and send for electronic signature to seller(s)
• Written, approved verbiage must come from Listing Agent directly prior to execution of ALL
documentation
• Upload all listing documentation to broker’s compliance platform + ensure all listing
paperwork has been approved prior to list date
• Schedule Cleaning using Listing Agent’s choice of cleaning service (if applicable)
• Schedule Photography using Listing Agent’s choice of photography service
• Schedule Staging using Listing Agent’s choice of staging service (if applicable)
• Schedule Sign Installation using Listing Agent’s choice of Sign Installation Service (install a day
before going live)
• Set reminder to remove signpost once sold
• Send seller(s) an introductory email
• Send seller’s property disclosure instructions
• Send missing initials/signatures for electronic signature to seller (if needed)
• Email seller(s) detailed schedule of appointments
• Email internal team detailed schedule of appointments

• Email seller(s) the seller home warranty coverage confirmation and inclusions (if applicable)
• Request HOA Documents from seller(s) (if applicable)

• Order Seller Home Warranty Coverage from Fidelity National Home Warranty (or company of
broker’s choice)
• Request home highlights + recent upgrades from Listing Agent for public remarks and flyer
blurb (if applicable)
• Request RMLS Data Input Form from Listing Agent
• Enter data into RMLS per the RMLS Data Input Form received from Listing Agent
• Enter Open House schedule into RMLS
• Get flyer blurb/public remarks approved by Listing Agent
• Enter photos into RMLS
• Review entire listing with Listing Agent to confirm accuracy
• Publish listing once it has been approved by Listing Agent and Seller within office hours.
• Create listing flyer using Listing Agent’s choice of flyer template (if applicable)
• Work with seller to create “amenities/upgrades” list and upload to RMLS (if requested)
• Open escrow within 24 hours of receipt (or by the following business day if received on a non-business day)
• Submit Sale Agreement the lender within 24 hours of receipt (or by the following business day if
received on a non-business day)
• Create Transaction/Timeline summary and send out to escrow, lender & co-op agent
• Review final sale agreement, counter offers & additional addendums to ensure all documents are fully executed
• Send missing initials/signatures for electronic signature using broker’s DocuSign account (or other esignature program)
• Track all contingency dates per sale agreement via calendar of broker’s preference
• Create commission demand & send to escrow
• Send and receive property disclosures as needed
• Upload all sale documents, disclosures, reports, receipts, etc. to Dotloop
• Review all additional documents following mutual acceptance to ensure documents are fully executed.
Send to escrow and/or lender if applicable.
• Order home warranty (if applicable)
• Ensure at time of closing, all paperwork has been approved for prompt commission delivery- subject to prompt response & signatures from all parties
1. With the client care, we communicate directly with your buyer/seller to ensure they are informed of
where we’re at in the process and are updated weekly on next steps. We are also available for your
clients to call/text us as another resource when they have questions.
2. With the client care package, we are able to assist with additional addenda and paperwork for you if
needed (with the exception of repair addendum/negotiation) with written instruction.
• Includes all items listed in the Basic Package
• Transaction summary, timeline, and earnest money instructions delivered to clients via email
within 24 hours of mutual acceptance (or by the following business day).
• Have open availability during office hours so I can be a resource for your clients via phone,
email, or text!
• Weekly check ins with escrow and lender to ensure everything is on track
• Weekly Status email to clients
• Additional emails include- Reviewing Your Preliminary Title Report, Reviewing the Seller’s
Property Disclosures, Buyers/Seller’s Next Steps & Signing and Closing Procedures
• Assistance with additional addenda/contract paperwork.
NOTE: Admin by Design’s role is that of a scrivener. Any provisions inserted in the transaction documents are drafted by Real Estate Broker and pursuant to Real Estate Broker’s express instructions.
